Data Deletion

How to request deletion of the personal data we hold about you.

Under UK GDPR you have the right to request deletion of your personal data ("right to erasure"). This page explains the options available to you and how long the process takes. We aim to action all requests within 30 days.

Option 1 — Delete your account yourself (fastest)

If you have an account with us, you can delete it instantly from your profile settings:

  1. Sign in and go to Settings → Profile
  2. Scroll to the "Delete account" section at the bottom of the page.
  3. Click "Delete account", confirm with your password, and your account will be removed.

This deletes your login credentials, profile information, saved addresses, and removes your data from active systems.

Option 2 — Email us

If you do not have an account (for example you only requested a quote, used WhatsApp, or contacted us by phone), email us at office@holdemremovals.co.uk with the subject line "Data deletion request".

Please include in your email:

  • Your full name
  • The email address(es), phone number(s) or postcode you used when contacting us
  • Approximate date of your enquiry or booking, if known

We may need to verify your identity before actioning the request — for example by replying from the same email address you originally used.

Option 3 — Stop WhatsApp messages only

If you only want to stop receiving WhatsApp messages from us (without deleting your other data), reply STOP to any WhatsApp message we send you, or email us asking to be removed from our WhatsApp list. We honour opt-outs immediately.

What we delete

  • Your account profile and login credentials
  • Your contact details (name, email, phone, address)
  • Quote enquiries, photos and inventory you submitted
  • WhatsApp, SMS and email message history with us
  • Marketing preferences (replaced by an opt-out marker)

What we are required to keep

Some data must be retained for legal or accounting reasons, even after you request deletion:

  • Invoices and accounting records — UK tax law requires us to keep these for 7 years from the end of the relevant tax year.
  • Job records for completed removals — kept in case of insurance claims or disputes, typically for 7 years.
  • Opt-out markers — a minimal record (your email or phone number flagged as "do-not-contact") is kept indefinitely so we can honour your opt-out and never email or message you again.

These retained records are kept in restricted-access systems and used only for the legal purposes above.

How long it takes

  • Self-service account deletion: immediate.
  • Email request: we will acknowledge within 5 working days and complete deletion within 30 days.
  • Backups: deleted data may persist in encrypted backups for up to 30 days before being purged.

Complaints

If you are not satisfied with how we handle your deletion request, you have the right to complain to the UK Information Commissioner's Office (ICO) at ico.org.uk/make-a-complaint or by calling 0303 123 1113.
